Information & its use

Contacting the club

If you email the club, your name, email address, message and any information you choose to include will be received so the team can respond and manage your enquiry. Please send only what is needed; avoid including medical details or other sensitive information in a general enquiry.

The contact form sends your name, email address, enquiry topic and message through the website’s hosting to the club’s email inbox. It does not save your enquiry in a website database. Your email address is included so the club can reply.

The live form checks submissions to prevent spam and misuse. It uses a temporary browser session and records submission times against a keyed hash of your IP address to limit repeat attempts. These rate-limit records do not contain your name, email address or message. Records older than 24 hours are removed when the form next receives a submission. The hosting provider may keep separate access and security logs.

The lawful basis for general enquiries is legitimate interests in responding to people who contact the club. Where an enquiry is a request to arrange a service, steps necessary to enter into a contract may apply instead.

Visiting the website

The live website is configured for 123 Reg hosting. Hosting and security systems may process technical request information, including an IP address, requested page, time and browser information, to deliver and protect the site. The basis is legitimate interests in running a reliable, secure website.

The current website has no analytics or advertising scripts, embedded social feeds or automated decision-making features. Fonts and images are served with the website.

Other services

Booking and membership information is handled through Padel Mates. Newsletter subscriptions, where you choose to sign up, are handled through Mailchimp. This website does not keep a separate booking, membership or newsletter database.

Some links take you to a separate website or app. Review that service’s privacy notice before providing information:

  • Padel Mates: bookings, memberships, coaching sessions and payments take place in its service. This website does not collect payment card details. Read the Padel Mates privacy policy for information about how its service handles your data.
  • Newsletter: the sign-up link opens a Mailchimp-hosted page. Sign-up is separate from making an enquiry; use the unsubscribe link in newsletters to stop receiving them. The club uses the details you supply to send the newsletters you agreed to receive. Read Mailchimp’s privacy information.
  • WhatsApp: joining a group may make your phone number and profile information visible to other members, depending on the type of group and your settings. Check these before joining.
  • Facebook and Instagram: our links open their services, which have their own privacy and cookie settings.

Hosting and email providers may process information to provide their services. Some providers may process data outside the UK. Any international transfer must use the safeguards required by UK data protection law. Contact the club for details relevant to your enquiry.

Keeping information safe

Access to personal information is limited to people who need it to handle enquiries or maintain the website. Information is kept only for as long as needed for the relevant purpose or a legal requirement.

Although the website has no visitor account database, emails sent to the club contain personal information and may be kept in its mailbox. Safeguarding records and information held in external services are also separate from this website.

The club keeps general enquiries for 30 days. Separate booking, membership, newsletter, safeguarding and hosting records have their own retention arrangements. Contact the club if you need information about a particular record.

The site uses HTTPS. Your own email provider also processes messages you send. Please do not use a general enquiry to send passwords, payment card details or confidential safeguarding reports. See our safeguarding reporting guidance instead.

Cookies

Cookies are small files a service can store in your browser. Similar technologies include local storage. They can support a service or track how it is used.

The contact form uses an essential session cookie called padel_contact to check that a submission comes from the browser that opened the form. It is restricted to the form’s API path, is not available to JavaScript, and uses Secure on HTTPS and SameSite=Strict protections. It has no fixed expiry and is normally removed when your browser session ends, subject to browser session-restore settings. There are no analytics or marketing cookies configured by this website.

When you follow an external link, that service may use cookies under its own policy. Its cookie choices are managed on that service, rather than on this site. You can also review, block or delete cookies through your browser settings.

If the website adds analytics, embedded content or other services, this notice and its cookie information must be reviewed before those features go live. Where consent is required, those technologies must remain off until you choose to allow them, with a way to change your choice.

Your rights

Depending on the circumstances, UK data protection law gives you rights to access your information, correct it, request deletion, restrict its use, object to processing and receive a portable copy. Where processing relies on consent, you can withdraw it. Some rights have limits or exemptions.

To make a request about information held by the club, email hello@padelatbottesford.co.uk. For information held by an external service, contact that provider as well where appropriate.

You can raise a concern with the club or make a complaint to the Information Commissioner’s Office (ICO). Read more about data protection rights.

This notice was approved for publication by the club on 27 October 2026 and will be reviewed when the website’s data use or the club’s arrangements change.
